MSALABS DRC is looking to hire a Procurement Assistant for its laboratory at the Kibali Gold Mine.

 Job Summary

The Procurement assistant will be responsible for sourcing and purchasing the materials, equipment, and services that the lab needs to function effectively. Under the supervision of the site or Lab manager (s), they will work with vendors, contractors, suppliers, and other third-party service providers to ensure that the Lab gets what it needs in a timely manner.

The procurement assistant will also be tasked with handling stores, tracking inventory levels, managing vendor relationships, and ensuring compliance with relevant laws and regulations.

Job functions and responsibilities

  • Performing research to identify potential suppliers and evaluating their qualifications.
  • Communicating with managers and other departments about order status, answering questions about products and services, and resolving issues.
  • Preparing purchase orders and contracts for approval by supervisors or Commercial department.
  • Negotiating price changes with suppliers when costs fluctuate significantly.
  • Keeping records of orders placed and shipments received, updating inventory levels based on these records
  • Maintain updated records of invoices and contracts.
  • Manages the movement of stock and physical inventory, identify purchasing needs.
  • Reviewing contracts to ensure that all terms have been met before signing them.
  • Receive items and make sure they match the purchase order and delivery note.
  • Check invoices and ensure that they are consistent with items ordered/received
  • Under the supervision of the Finance Manager, ensures the application, tracking and updating of import licenses for the company.
  • Ensuring compliance with laws and regulations regarding purchasing procedures and best practices
  • Coordinate with other departments in the company to purchase specific materials or equipment.
  • Working directly with suppliers to obtain bids on new or ongoing projects.
  • Perform any other related tasks/functions.


  • Education and experience:
      • Bachelor’s degree in business, economics, procurement, or a related field.
      • At least 2 years’ experience in a similar position.
      • Proven knowledge in import-export would be a great advantage.
  • Knowledge of the SEGUCE platform.
  • Computer literacy: good knowledge of MS Office software, especially Outlook, Excel, Word, PowerPoint, and Teams.
